POSITION SUMMARY This position will be responsible for supporting the Strategic Alliance initiatives through database administration, event support services, partner acquisition, and retention support: CORE COMPETENCIES · Interpersonal and group communication skills · Organizational and planning skills · Detail-Oriented All other administrative duties and any special projects as assigned. · Database management and data entry · Self-motivated with independent and team skills · Time management PRIMARY DUTIES AND RESPONSIBILITIES Partnership Program Support • Serves as primary and initial contact for partner service-related calls, new partner onboarding, fielding questions, issues, etc. • Assist with both the 78 Social and Louisville Tourism partnership, including processing new members and welcome correspondence, billing, working to retain memberships in both with engagement throughout the year. • Assist with data and art logistics of the production of the Planners Resource Guide & Visitor Guide & ensure a strong distribution program for both publications. • Serve as the Louisville Tourism’s partner liaison to service their accounts, provide training, encourage engagement opportunities, and deepen connections with the LT team. • Maintain the internal CRM database for the accuracy of account information. • Maintain 78 Social database for 78 Social for accuracy and managing the billing of monthly renewals and promote and track event registrations in Eventforce. • Manage and improve upon the Inside Track Pass: Louisville Saving Passport program as well as other promotional opportunities for partners. • Coordinates the logistics of 78 Social events and partner-related meetings/trainings and ensures timely payment to vendors. • Assists in the writing and development of client/partner correspondence; departmental reports; itineraries; agendas; etc. • Traditional administrative tasks to include requesting purchase orders, process/distributing department paperwork, sorting/distributing mail, organizing/maintaining department electronic files, maintaining promo item/gift inventory, fulfill, and wrapping client gifts. • All other administrative duties and any special projects as assigned. Database Administration Support · Responsible for data quality, ensuring contact information and critical data points are kept up to date. • Works with the LT team to alter the CRM database to meet the changing needs of internal staff and the organization. • Maintains accurate records for reports of partnership activities. • Administers the relationship side of the database, updating contact information, processing dues and renewal cycles and supports the Director on issues pertaining to partnership investments. • Generates standard reports upon staff request. Event Support • Assist the team with various needs to produce the 78 Social ongoing events • Ensures appropriate materials are available for meetings and events. • Reports performance metrics for events and alerts staff of low attendance and issues surveys • Provides registration assistance at events • Assist with the ROSE Award community campaign and logistics of the annual Louisville Tourism Gala production. QUALIFICATIONS AND PHYSICAL REQUIREMENTS · Associate degree or higher in a business discipline, or equivalent work experience. · Working knowledge of the Louisville Area, hotels, and tourist attractions with the ability and desire to learn more and teach others. · Excellent oral and written communication skills; ability to relate well to others, both individually and in groups. · Computer proficiency, including Microsoft Office Suite and database software · Ability to lift boxes as well as other duties necessary to set up remote booths. · Detail-oriented and able to prioritize and coordinate multiple tasks from multiple staff with minimum supervision to meet established deadlines with poise, enthusiasm, accuracy, and efficiency. · Experience in a client-focused and fast-paced office environment
