Housing Services

Using our housing services is like having a full-time staff at no extra cost to you. We put our entire Louisville  Housing Bureau team behind you with extraordinary effort that makes your multi-hotel convention needs simple and hassle-free, leaving you time to handle other meeting function details. We have selected Passkey.com as our Internet-based convention housing system. Once we set up your meeting in the Passkey system and open for reservations, attendees can reserve hotel rooms via the Internet, a toll-free number, fax or mail.

The obvious advantages:
  • It allows you to connect live with your hotels and the Bureau via the Internet in a secure environment to access and share data.
  • It maximizes your ability to get full credit for all the rooms your event fills.
  • It allows you to manage inventory down to the sub-block level for multiple attendee categories.
  • It gives you proven attrition-fighting e-commerce tools to help reduce hotel attrition clause exposure.
  • It provides real-time block and pick-up reports 24/7, plus detailed delegate reports delivered electronically on a daily basis, (more than 100 reports available).
  • It allows you to track room pick up and modifications, even after cutoff.
  • Attendees with Internet access can reserve hotel rooms online 24 hours a day, seven days a week from anywhere in the world. They can view pictures of hotel properties and rooms, descriptions of rooms and amenities, and maps of the area as well. Each attendee can then make an informed decision based on room quality, location, price and real-time availability.
  • Hotels reservations can also be made via a toll-free reservation number that takes you to our in-house call center staffed with friendly and knowledgeable coordinators. They can answer questions regarding the hotels and book a reservation immediately over the telephone. In addition, they can provide information on things to see and do in the Greater Louisville area and mail a visitor packet to your attendees. Marriott


General Policies and Further Information

  • The LCVB Housing Bureau will provide housing for groups using two or more hotels.
  • Housing forms will be designed by the Housing Bureau at no charge to the meeting planner. However, meeting planner is responsible for the printing and distributing of housing forms.
  • Only the hotels with signed agreements will be utilized until the rooms in these properties are no longer available, then rooms can be secured in additional hotels.
  • First night deposits are required for all reservations. The credit cards may be charged the deposit upon receipt by the hotel.
  • Rooms are assigned on a first-come, first-serve, space available basis. If rooms are no longer available in the hotel(s) of the attendee's choice, availability of the remaining hotels will be used in determining where guests are assigned.
  • Continual communication between the Louisville Housing Bureau and the hotel reservations departments to prevent "walks" by hotels.
  • The Housing Bureau arranges for visits to hotels and sets up itineraries based on the meeting planner's request.
  • An on-site housing manager can be provided during the peak arrival day of your meeting to handle hotel/housing questions so that you can focus on the convention. In addition, the housing manager will monitor availability at all hotels to place individuals without advance reservations.
  • Accurate room pick-up histories and pace reports will be provided to you as well as the next city in which your meeting will be held.
  • Current Louisville city room tax is 15.01%
  • Hotels may include a modest housing processing fee in their room rates.
